M&A Therapies Privacy Policy

At M&A Therapies, we’re committed to protecting and respecting your privacy. This Policy tells you how we use personal information collected on our website and in our clinics. We may change this Policy from time to time so please check this page occasionally to ensure that you’re happy with any changes. By using our website, you’re agreeing to be bound by this Policy

This privacy notice aims to give you information on how M&A Therapies collects and processes your personal data through your use of this website, including any data you may provide through this website when you fill in the “contact us” form..

How do we collect information from you?

We obtain information about you when you use our website, for example, when you contact us about our services and when you register as a patient at M&A Therapies.

What type of information is collected from you?

The personal information we collect includes your name, address, email address, IP address, and information regarding what pages are accessed and how you’ve interacted with the site. If you make a payment by card information is not held by us, it is collected by our third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions.

How is your information used?

As a provider of healthcare services and assessments, our clinicians are under a legal requirement to document your treatment. These treatment notes will necessarily include data about your health. Further to the legal grounds for processing above we will process health data on the basis: That it is necessary for medical diagnosis and the provision of health care services.

When providing healthcare services such as physiotherapy or other musculoskeletal treatments we have a professional obligation to supervise and audit the quality of the treatment provided by our healthcare professionals, where we process patient health data for these purposes the further legal ground for doing this is ensuring high standards of quality and safety of health care.

We will hold your personal information for as long as is necessary for the purposes set out in this Privacy Policy. All data is stored on a secure server as part of our website or clinical databases. Your clinical notes are stored securely for a period of up to 8 years as required by law. All electronic data is password protected and only accessible by authorised individuals.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

 

How We Use Cookies

Legal

By accessing matherapies.co.uk or any content found on this web site, you are deemed to have entered into an agreement with M&A Therapies Ltd and to have agreed to be bound by the terms set out below. The web site is owned and operated by M&A Therapies Ltd

 

Your treatment at M&A Therapies will require you to share your personal information. For example, we require your contact details for arranging, changing and reminding you of appointments as required as well as relevant medical history.

All data is encrypted backed up daily. Any written notes are stored securely at M&A Therapies Ltd. This is a mandatory requirement of the Health and Care Professions Council (HCPC)

All rehab programmes will be created and sent to clients via an app called Exercise Prescriber /Wibbi.  The only personal data stored via these systems is your name, email address and our written prescription notes to allow integration between the two operating systems. The app do not have access to this information and are not permitted to contact you. Your record will be retained for a minimum of 8 years in line with government policy.

M&A Therapies will never sell or share any of your contact details to a third party and your expressed written consent will be required should we need to release your clinical records to another health professional, such as your GP, as part of your treatment.

It is your right to see your medical records including assessments, treatments, discharge letters and medical reports if necessary, and you may request these in writing to M&A Therapies Ltd. We will be more than happy to assist with this at no detriment to your ongoing treatment.

You also have the right to a ‘no further contact’ request which would prevent M&A Therapies Ltd from contacting you thereafter, however we are required by law to retain all medical records, including your personal information for a minimum of eight years. We are required to retain medical records for paediatric (aged 16 or under) clients for a longer period. Clinical records that have not been accessed for two years are securely archived at M&A Therapies Ltd and appropriately destroyed on-site at the earliest legal opportunity. All electronic notes are archived and then deleted in the appropriate timeframe.

To further enhance the service that M&A Therapies Ltd offers you, we would like to contact you to obtain feedback on your experience with us from time to time. Please let us know if you would like to opt out of this.

Cancellation policy

At M&A Therapies Ltd we strive to provide excellent clinical care to you and all of our clients.

In order to maintain consistency with this and ensure clients are seen in a timely manner, we have an appointment cancellation policy. When an appointment is scheduled, that time has been set aside for you, and when it is missed, that time cannot be used to treat another client who also needs our service. Therefore, we ask that you familiarise yourself with our cancellation policy below:

We politely request that you give the clinic 24 hours notice in the event that you cannot attend your scheduled appointment slot. This will allow another client to be scheduled into that free appointment time. You will not be charged for cancelling an appointment more than 24 hours in advance.

If a client misses an appointment without contacting the clinic, this is considered a missed appointment and a full standard fee will be charged.

We politely request that all clients settle cancellation and non-attendance charges prior to their next appointment.

If you arrive late for your appointment, we will do our best to deliver a complete service in that time, however please bear in mind this may not be possible and your full appointment fee will be charged.

Cancellation with less than 24hrs notice: 100% appointment charge

Cancellation more than 24hrs notice: No charge

Failure to attend with no contact: 100% appointment charge

We also understand that there may be occasions when unavoidable situations may cause you to miss your appointment for good reason. In this case it is at the discretion of the practice manager to waive these charges as a gesture of good will.

 

Contact policy

Social media is a great way to communicate regarding what M&A Therapies ltd has to offer as a service, however we encouraged all our clients to contact use via email; phone or text / What’s App Message. Please feel free to contact us outside our working hours but note we aim to only respond to all messages during working hours to ensure a good work/life balance, which we hope you can appreciate.

 

Consent and chaperones

M&A Therapies Ltd take the protection of clients and practitioners throughout the treatment process very seriously. The Chartered Society of Physiotherapy set guidelines to ensure the standards of treatment. More information can be found here: https://www.csp.org.uk/publications/chaperoning-and-related-issues M&A Therapies Ltd require all clients aged 16 or under to be supervised by an adult during examinations and treatment sessions. If a client is over 16, they may also bring an informal chaperone such as a friend or relative. A chaperone is an adult acting as an impartial third party. Due to the fact that we are a small business we are unable to offer our own chaperone. In order to achieve the best possible physiotherapy assessment, clients may be asked to undress to an appropriate degree. You may therefore, feel more comfortable bringing a vest top, sports bra or shorts etc to change into for your appointment.

If client is required to undress, the physiotherapist will leave the room to provide the required level of privacy and towels will be provided for modesty.

Please let your physiotherapist know at any time during your assessment if you are uncomfortable. The client is responsible for consenting verbally to examination and treatment, and this is noted in the clinical records. The client has the right to withdraw consent at any time.

 

Payment of fees

The responsibility of payment remains solely with the client. Please ask us of up date of our fees.

M&A Therapies ltd business of therapy on self-pay basis and to do not offer support from health insurance companies. M&A Therapies Ltd are instructed by a number of care management agencies and do provide assessment and treatment on their instruction.  

If there are extra costs; dressings; thermoplastic/ neoprene splints; tapping etc. we endeavor to inform you of the pricing prior to proceeding with that aspect of your care.

We Design Silversplints provision

M&A Therapies is partner of We Design Silver splints and complete additional training to asses and complete minor alteration for silver splints.

M&A Therapies Ltd completes assessment appointment and potential need for between 1 & 2 fitting and adjustment appointments. These are directly paid to M&A Therapies at the time of appointments. The appointment charges will be clearly explained at the time of booking and are separate to cost of silver splints and P&P

M&A Therapies Ltd will clearly explain the sliver splint pricing including post and packing. After the initial appointment payment you are not obliged to proceed with purchasing the silver splints. You will be provided with payment details for the silvers splints but will not be ordered until payment is cleared via direct payment. Once payment is received, M&A Therapies will proceed with order once payment is clear. Within 3-4 weeks a follow up fitting appointment will be made. A further payment will be required for this at the time for the follow up fitting appointment.

If further adjustments are required occasional a future follow up appointment is required.

We Design are responsible for and bear all expenses of producing, packaging, shipping, insuring Silversplints for/to Partner based on Incoterm 2020 Delivery Duty Paid (DDP).

We Design remains responsible for new Silversplints, that are not made to the specifications of the order.

You will be provided with Declaration of conformity and user instruction. We Design offer a warranty of the Silverspints - Dynamic models obtain a 1-year warranty, while static models obtain a 2-year warranty.

​Refund policy

On occasions, you may not require our service after booking.  Providing it is more than 24 hours in advance of your appointment, any monies paid will be repaid, minus any card transaction fees we have incurred.  Refunds will be processed by the same means as payment and must be requested within three month of booking.  Please allow 5-10 days for the money to return to your account.

Gift vouchers are non-transferable and non-refundable.

 

Complaints policy

We hope that you will be very satisfied with your assessment and treatment with us at M&A Therapies Ltd, however we are always looking to improve our service wherever possible. If are dissatisfied with any of the assessment or treatment that you have received with us please do contact us via telephone or email to make a formal complaint. Complaints will be taken very seriously and we will always endeavor to resolve any issues with clients where possible.

 

Standards of practice

Here at M&A Therapies Ltd we are committed to consistently providing care in line with the national standards of the HCPC; Chartered Society of Physiotherapists; British Association of Occupational Therapists; British Association of Hand Therapist

Training/rehab plans

Your training and rehab plans are created as a guide only and by agreeing to our terms and conditions you confirm understanding that all exercise is undertaken at your own risk within your own physical limitations.

If you have any doubts about your ability to exercise or there are any changes to your health or medical status, it is your responsibility to inform us of these changes and to seek the appropriate medical advice from your GP or A&E. We are unable to accept any responsibility for injuries or illnesses acquired during the undertaking of the training plans.
